1 Check if your prompt is too long or too vague
If your prompt is a wall of text, the assistant may miss things buried in the middle. Use clear headers and numbered steps.

2 Use If / Then sentences for every decision
Whenever the assistant needs to make a choice, write it as an If / Then rule. This removes ambiguity completely.
If the caller says it is urgent,
Then transfer the call immediately to +43 123 456.
If the caller only wants to leave a message,
Then take their name and say: "We'll call you back within 24 hours."

1 Add the fields to Precise Information Processing
Open your assistant β Verhalten β Precise Information Processing and add each piece of data you want to capture (e.g. Name, Email, Address, Phone Number) along with an example format. The assistant automatically uses a stronger model for these fields, which dramatically improves transcription accuracy.

Collecting Names
### PROTOCOL FOR PRECISE NAME CAPTURE
1. STRUCTURED REQUEST:
Always ask explicitly for both first and last name. If the caller only gives one, politely ask for the missing part (e.g. "And your first name, please?").
2. CLARIFY SPELLINGS (THE "MAIER RULE"):
Never assume the standard spelling for common names.
- If a name has multiple possible spellings (e.g. Schmidt/Schmitt, Maier/Meyer), actively ask: "May I quickly ask how you spell that? With 'ai' or 'ey'?" or "Schmidt with 'dt' at the end?"
3. PATIENCE WITH COMPOUND NAMES:
Listen extra patiently for hyphenated or noble names (von/zu). Do not interrupt the caller if they pause between parts.
4. PHONETIC SAFETY (SPELLING IT OUT):
For unusual or hard-to-understand names ask kindly: "Could you briefly spell your last name for me, just to be sure?"
- While the caller is spelling, do NOT use any acknowledgement words ("Mhm", "Okay") so you don't disrupt recognition.
5. VERIFY BY REPEATING:
Repeat the name clearly at the end: "Thank you, Mr./Ms. [Last name]. Did I get that right?"
- If the name is complex, spell it back yourself for confirmation (e.g. "I noted: S-C-H-U-L-Z-E, correct?").
6. CAPTURING TITLES:
Watch for academic titles (Dr., Prof.). If a caller mentions a title, store it in the appropriate field and politely address the caller as "Mr./Ms. Dr. [Last name]" for the rest of the conversation.

### PROTOCOL FOR EMAIL CAPTURE
1. ACTIVELY ASK THE CALLER TO SPELL: When you ask for the email, guide the caller. Say: "Could you give me your email address and spell it out briefly to be sure?"
2. PHONETIC ASSISTANCE:
- While the caller is spelling, stay completely silent (no "Mhm" or "Yes").
- If you don't understand a letter, ask using the spelling alphabet (e.g. "Did you mean B as in Bravo or P as in Papa?").
3. SPECIAL CHARACTER TRANSCRIPTION:
- "At" or "at sign" = @
- "Dot" or "Period" = .
- "Hyphen" or "Dash" = -
- "Underscore" = _
4. THE CONFIRMATION LOOP (ESSENTIAL):
Once the caller is done, ALWAYS repeat the email back for confirmation. Spell out critical letters yourself or use words:
"I noted: 'm' as in Max, 'u' as in Uniform, 's' as in Sierra, 't' as in Tango, then the at sign, then gmail dot com. Is that correct?"
5. ERROR FALLBACK:
If after the second attempt the email is still not captured correctly, say politely:
"I want to make sure the confirmation reaches you. I'll send you an SMS to this number β you can simply reply with your email address."

### BEHAVIOR RULES FOR DATA CAPTURE (PHONE NUMBERS)
1. PATIENT LISTENING: Be extremely patient when the caller dictates a phone number or other digits. People naturally pause when reading numbers aloud (thinking pauses).
2. NO INTERRUPTING: NEVER interrupt the caller while they are saying a number. Even with a pause of 1β2 seconds, wait actively.
3. END DETECTION: Only assume the number is complete when:
- The caller explicitly says they are done (e.g. "That's it" or "Did you get that?").
- There is an unusually long silence of more than 3 seconds.
4. BACKCHANNELING: While the caller is speaking, do NOT use acknowledgement words like "Yes", "Okay" or "Mhm" β they can disrupt the caller's speech recognition and break their flow. Stay silent until the entire number has been said.
5. CONFIRMATION: Once the number is fully captured, repeat it back slowly and clearly in digit groups (e.g. "0176... 123... 45... 67") to ensure correctness.

1 Define the tone directly in your prompt
Add one line at the top of your prompt describing exactly how the assistant should come across.
Clear: "Speak in a warm, friendly tone β like a helpful colleague." / "Be professional and concise. No filler phrases."
2 Change the voice in settings
Go to your Assistant β Essentials β Voice. Try a different voice β some sound noticeably more natural in certain languages.
3 Adjust the speech speed
Under Technical you can fine-tune "Speech speed". A slightly faster setting usually sounds more natural and engaging than the default.
