How to insert the caller's name into the email subject line
To use the caller's name in the subject line of the email after a phone call, you need to follow three steps:
Important note regarding name recognition: The accuracy of name recognition depends on the audio quality of the call, but can be optimized through specific configuration adjustments.
Enable Accurate Information Processing: Enable “Accurate Information Processing” in your settings and add example names. This uses a more powerful model for processing.
Reduce creativity settings: Lower creativity levels can improve accuracy when extracting specific information, such as names.
Adjust the sensitivity: If background noise frequently causes interruptions or misunderstandings, lower the sensitivity setting.
Alternatively, you can use the caller's phone number for identification, which is more reliable in many cases.
Ensure the name is mentioned during the call
The caller's name must either be mentioned spontaneously during the call or actively requested. The AI can only extract information that is actually spoken during the call.
Set up variable extraction
You need to extract the caller's name as a variable. Proceed as follows:
Go to the "Technical" section in your settings
Activate Variable Extraction
Configure the system to extract the caller's name from the conversation
A detailed guide for setup can be found in the documentation:
Insert the variable into the email subject
Once you have created the variable (e.g.,
{{Variable1}}), you can insert it into the subject line of your email when editing the post-processing.
Example: Subject: Call received from {{FirstName}} {{LastName}} regarding {{Issue}}
